M365 Standard vs Premium - Whats the Real Difference

TL;DR: Microsoft 365 Business Standard gives your team the apps and email they use every day. Business Premium adds the security layer sitting around those apps: device protection, phishing defence, remote device management, login protection and data loss prevention. The apps stay the same. What changes is how well your business is protected if something goes wrong. For most 10-50 seat businesses, the extra cost per user is small against the cost of a serious security incident.

The Apps Are Not the Problem

If your business runs on Microsoft 365 Business Standard, nothing is wrong with your day to day setup. Word, Excel, Outlook, Teams, SharePoint, OneDrive, all present and working. Standard is a genuinely solid productivity suite and most businesses on it have no complaints about how it performs.

The issue is not what Standard does - it's what it doesn't do...

Standard was built to get people working. It was never built to stop a laptop getting infected, a phishing email getting through, or a lost phone handing over access to your client data. Those jobs sit with Business Premium, and a lot of businesses do not realise the split exists until something has already gone wrong.

The UK Government's 2025 Cyber Security Breaches Survey found that 43% of UK businesses identified a breach or attack in the past 12 months. Phishing was the most common route in. None of that requires a sophisticated attacker. It requires one tired employee clicking one bad link on one unmanaged device.

Where Standard Leaves the Door Open

Here is where the two plans actually diverge. Five areas, each one a genuine gap in Standard that Premium closes.

01. DEVICE PROTECTION

Business Standard

No centrally managed antimalware, firewall or exploit protection. If a device gets infected, you find out once it has already spread across the network.

Business Premium

Microsoft Defender for Business runs on every device, managed centrally, with exploit guard, credential guard and BitLocker encryption built in.

02. EMAIL AND PHISHING DEFENCE

Business Standard

Basic mailbox filtering only. It catches obvious spam but is not designed to stop a convincing invoice scam or a spoofed email from "your MD".

Business Premium

Microsoft Defender for Office 365 checks links and attachments in real time and flags impersonation attempts before they land in an inbox.

03. DEVICE MANAGEMENT

Business Standard

No way to remotely lock, wipe or check the status of a device. A lost phone with company email on it is simply gone, and there's nothing you can do about it.

Business Premium

Microsoft Intune lets IT remotely wipe company data, enforce security settings and set up new laptops automatically through Windows Autopilot.

04. LOGIN PROTECTION

Business Standard

A stolen password is enough to get in from anywhere, on any device, with no extra checks, no second login step and no way to spot it happening.

Business Premium

Conditional Access through Microsoft Entra ID blocks or challenges logins from unrecognised devices or locations, with enforced multi-factor authentication.

05. DATA LOSS PROTECTION

Business Standard

Nothing stops a member of staff emailing a spreadsheet of client bank details outside the business, by accident or otherwise.

Business Premium

Data loss prevention policies spot sensitive information in emails and files and block or warn before it leaves the business.

What Does Not Change

This is the part worth being clear on. Premium is not a different product with a learning curve. It is Standard plus a security layer sitting underneath it. Staff still open Outlook, still use Teams, still work in Word and Excel exactly as before. Nobody needs retraining. Nothing about the day to day experience changes, other than the odd prompt to approve a login on a new device.

Is the Extra Cost Worth It

Per user, the jump from Standard to Premium is roughly the cost of a couple of coffees a month. Weigh that against what a single serious incident costs: the direct clean-up, the hours of downtime, the client trust, and in some cases the regulatory fallout if client data was involved. For a 15 or 20 seat business, the total monthly uplift is a couple of hours of an engineer's time spent cleaning up after a ransomware infection that better device management would have stopped at the door. Premium isn't an upsell. It's the plan that matches where the threat landscape sits now, not where it sat when a lot of businesses first set up their Microsoft 365 tenancy.

Making the Move

Switching from Standard to Premium does not mean a rebuild. Existing mailboxes, files and Teams setups carry across, and the security features layer on top without disrupting how your team works. If you want to know what it would look like for your specific setup, that is exactly the kind of conversation worth having before you commit to anything.
